Deed record

Ownership transfer leads

When a building sells, the deed is recorded and published. The buyer has just underwritten the roof, the boiler, the facade and the security post, and is about to act on what the underwriting found.

In short

Property sales are public record the day the deed is recorded. A new owner reassesses every vendor and plans capital work. We read deed records daily, match each transfer to the buying entity and its principal, and send you the ones that fit what you do.

  • Public record on the day of recording
  • Names buyer, seller, property and consideration
  • Predicts capital work and vendor changes in the first year of ownership
  • FieldClients reads this record in your area every day and sends the leads: $800 to $2,000 a month by area size

What the record is

A deed transfer is recorded when real property changes hands. The register publishes the document type, the parties, the property, the recording date and the consideration paid, together with any mortgage recorded at the same time. In New York City this is ACRIS; elsewhere it is the county recorder or register of deeds.

The buyer is usually an entity, an LLC formed for the purchase, and the record names the entity, not the person behind it. Matching the entity to its principal or asset manager, then to the person who awards work on the building, turns a deed into a lead.

Portfolio sales, where one buyer takes several buildings at once, are the strongest version of the record: one decision-maker, many buildings, one vendor list being rebuilt.

Where it is published

  • NYC ACRIS. Deeds, mortgages and related documents for the five boroughs, searchable and published as open data.
  • County recorders and registers of deeds. Every US county records transfers; larger counties publish daily indexes online, smaller ones by request.
  • State business registries. Used to resolve the purchasing LLC to its principal or manager.
  • UK HM Land Registry. Price paid data and title transfers, published monthly.

Timing: when to reach out

The first ninety days after recording. The buyer's business plan for the building, written before closing, is executed in the first year, and vendor decisions come first. Reach the new owner in the month the deed records, before the incumbent vendors have been confirmed or replaced.

Ownership transfer leads: questions

Are property sales public record?

Yes. Deeds are recorded with a public register and published with the parties, the property, the date and, in most jurisdictions, the price. New York City's ACRIS and county recorders across the US publish them; HM Land Registry publishes UK transfers.

Why is a building sale a lead for contractors?

Because a buyer has just paid for a due-diligence report on the roof, the boiler, the facade and the systems, and is about to act on it. Capital work is budgeted, vendors are reassessed, and the managing agent often changes. It is the moment the building's vendor list is rebuilt.

How do you find the person behind the purchasing LLC?

By resolving the entity through business registries, mortgage documents and the buyer's other holdings to its principal or asset manager, then verifying that person's email. That is the enrichment FieldClients does on every ownership-transfer lead. Company phone where listed.
